II Biomedical Scientific Symposium

Biomedicine - the science of the 21st century

General provisions

  1. II Biomedical Scientific Symposium, hereinafter referred to as “Symposium”, will take place on the 21st of May, 2022 at the Collegium Maius auditorium, Medical University of Lublin, 4 Jaczewskiego Street, Lublin.
  2. The Symposium is organized by the Interdisciplinary Biomedical Student Club by the Department of Biomedical Sciences and the Department of Biochemistry and Molecular Biology, Medical University of Lublin.

 

Terms of participation                                                                                                               

  1. In order to participate in the Symposium the Participant needs to complete the registration form available during the registration period, along with making the appropriate payment.
  2. The Symposium Participants may be students, PhD students or researchers associated with medical sciences and similar fields.
  3. There are two forms of participation the event:
    1. Active participation – a person who has fulfilled the conditions of participation specified in points 1. and 2. and is giving an oral presentation or presenting a poster.
    2. Passive participation – a person who has fulfilled the conditions of participation specified in points 1. and 2. but is not giving an oral presentation nor presenting a poster or is one of the authors of the submitted works, but not the one presenting.
  4. Participation fees
    1. Participation fee for both active and passive Participants is 70 PLN.
    2. The Symposium organizers do not cover the cost of stay and travel of the Participants.
  5. There are 14 presentations planned during the event
    1. Plenary lecture – free and open to all
    2. Keynote x1
    3. Guest speaker x3
    4. Students’ presentations x9
  6. After the submission deadline the abstracts will be evaluated by the Scientific Committee of the Symposium, consisting of experienced doctoral students and professors. Based on the abstract quality the submissions will be classified as an oral presentation or a poster, or rejected.
  7. In case of the rejection of the submitted abstract the Participant has a right to request the explanation of rejection and participate in the event as a passive Participant. In some cases, if the rejected abstract is for an oral presentation, the Participant may present their work as a poster.
  8. The Participants will receive the Scientific Committee decision via e-mail in two weeks after the registration is closed.
  9. The participation fee for active Participants will be accepted after the approval of the submitted abstract by the Scientific Committee.
  10. Payment procedure details and deadline will be sent via e-mail along with the Scientific Committee approval of the submitted abstract.
  11. In case of no response regarding the submitted abstract by 14 May 2022, the Participant should contact the Symposium organizers or the Scientific Committee.

 

Symposium rules
  1. The registration and abstract submission deadline is 29 April 2022.
  2. The Symposium organizers have the right to make changes in the Rules and Regulations and the program of the Symposium.
  3. The Participants take full responsibility for their behavior and the presented work during the event.

 

Rules of presentation and submission of works

  1. Abstracts of presented works will be accepted till 29 April 2022.
  2. A Participant is a person who:
    1. submitted the registration form;
    2. received the confirmation of registration;
    3. made the payment of the registration fee along with registration;
    4. sent the payment confirmation via e-mail to: kolo.biomedycyny@gmail.com
  3. Presentations, posters and abstracts should be submitted and presented in English.
  4. Presentations, posters and abstracts should be relevant to human health and diseases.
  5. Maximum of authors of the presented works is 10 people.
  6. Maximum of authors presenting a submitted work at the Symposium:
    1. 3 for the poster
    2. 1 for the oral presentation
  7. Works presented as an oral presentation must cover original research. Posters may cover original research, review of the topic or a case study.
  8. Submitted abstracts have to be under 350 words and should be based on the provided styles of abstract (Attachment: Styles of Abstracts)
  9. The time allocated for an oral presentation is maximum of 10 minutes, with a further 3 minutes allowed for discussion.
  10. Participants presenting oral presentations are required to send prepared slideshow presentations to the Symposium organizer via email (kolo.biomedycyny@gmail.com) by 18 May 2022.
  11. The slideshow presentation should be compatible with MS PowerPoint (.ppt, .pptx) or Adobe Acrobat Reader DC (.pdf). The file should be named: First name_Last name _Title.
  12. Participants are required to bring their printed posters to the registration stand on the day of the Symposium.
  13. Posters must be on A1 size paper (594 mm x 841 mm) and be designed vertically.
  14. Every oral presentation and poster will be evaluated by the Scientific Committee and best works will be awarded.
  15. In the case of presenting both oral presentation and poster, the Participant can be awarded only in one category.
  16. Active Participants will receive certificates of participation.

 

Resignation from participation

  1. In case of resignation from the participation, the Participant should notify the organizers no later than 2 weeks before the Symposium.
  2. Participation fee is non-refundable in case of resignation from the participation.

 

Safety regarding COVID-19

  1. Participants must obey the rules and regulations regarding the prevention of spreading COVID-19 according to the most recent guidelines issued by Polish Ministry of Health.
  2. Participants must respect the most recent sanitary rules issued by the management of Collegium Maius.
  3. Depending on the regulations issued by GIS (Main Sanitary Inspectorate), participants may be asked to present certificate of full vaccination against COVID-19 or a valid negative result of COVID-19 test done 24-48h prior to the event.
  4. In case of a Participant disobeying the rules mentioned above, organizers of the Symposium reserve the right to remove the Participant from the Symposium. The entrance fee will not be returned to that Participant.

 

Final provisions

  1. Submitting the registration form is equal with accepting the rules and regulations of the Symposium including the safety rules (Safety regarding COVID-19).
  2. The Symposium organizers are not responsible for  the things of the Participants that may be lost, stolen or damaged during the event.
  3. By submitting the registration form the Participant consents to the processing of their personal data by the Symposium organizers under the Act of 10 May 2018 on the Protection of Personal Data, the Directive (EU) 2016/680 of the European Parliament and of the Council of 27 April 2016, and the Corrigendum to Regulation (EU) 2016/679 of the European Parliament.
  4. By participating in the Symposium the Participant consents to the distribution of their image under The Act Of 4 February 1994 On Copyright And Related Rights.
